How to reduce image size for email, forms and uploads
A single phone photo can be several megabytes, which is too much for many forms and awkward for email. This guide explains what makes an image large, which changes shrink it the most and how to hit a specific size such as 200 KB or 1 MB.
What makes an image file large
Three things set the size: the number of pixels, the compression quality and the format. A 12 megapixel photo has 4000 by 3000 pixels. Halving both the width and the height leaves a quarter of the pixels, so the file can shrink to roughly a quarter before any other change.
The three levers, from least to most visible
- Format: converting a PNG photograph to JPG often shrinks it a lot with little visible change.
- Quality: lowering JPG quality from 95 to about 80 or 85 saves space with only a small effect on most photos.
- Dimensions: reducing the pixel size has the biggest effect and is fine when the picture will only be viewed on a screen.
Hitting a target size
If a form says the file must be under 200 KB or 1 MB, use Compress JPG and choose that limit. The tool lowers the quality first and reduces the dimensions only when quality alone cannot reach the limit, then shows the size you got. If even the lowest setting cannot fit, it tells you the smallest size it could make.
How big is too big for email
Limits differ between services. Popular providers commonly allow attachments in the range of 20 to 25 MB in total, and company mail servers are often stricter. Several large photos can add up quickly, so shrinking them before you attach them avoids bounced messages.
Tips
- Crop the picture to the part that matters before you compress it.
- Use the largest limit the form accepts, because it keeps more detail.
- Keep the original photo, and send or upload only the reduced copy.
- For several pages of documents, combine the pictures into one PDF and set a maximum PDF size.
Frequently asked questions
How do I make a photo under 100 KB?
Add it to Compress JPG and choose Under 100 KB. The result may look softer, because a very small limit on a large photo needs lower quality and fewer pixels.
Does resizing remove metadata?
Pictures created by this converter do not carry over camera details or location tags from the original.
Which format is smallest for photos?
WebP and AVIF are often smaller than JPG at similar quality, but JPG is accepted almost everywhere, so it is the safest choice for forms and email.
